Tools and Measurement Update – Current Agreed Versions
Following the recent ADR briefings we are circulating for information purposes the nationally agreed delivery tools and the current version. Anything not mentioned in this LTB or with a different version number is not agreed with the CWU.
Duty Builder v3.2d
This version includes reports for IPS, Prep, Delivery and other tasks scheduled in revisions. There are currently no plans to update this version.
Attendance Call Sampling Tool 1.8E
This adds on any extra attendance calls not credited in Pegasus, it does this per postcode so that the number of attendance calls can be applied to new walks. It provides a default attendance call figure for the office/walk for future forecasting and a current attendance call rate. It also gives new walks prep percentages from Automis based on automated traffic. There are no plans to update this version.
Model Week Workload Assessment v2
Selects weeks in workload order not just traffic volume as did the previous version.
The tool is used to reset your model week as appropriate. No plans to update.
Delivery Traffic Forecasting Tool v2.72
New version being worked on which will include attendance call outdoor forecasting. Expected to be ready before the end of May.
Frame Calculator v2
Supports the process of agreeing the number of IPS frames required to adequately deal with the sortation of IPS. No plans for a new version.
Geo-Route 2008
No plans to cease Geo-Route as a delivery route planning tool. No plans to update.
Manual Interventions Revision Aid v4.27 (2call rates) and 4.37 (3call rates)
This allows you to agree locally if you will have 2 call rates, which is a call rate for Monday & Tuesday and another for the rest of the week. Or alternatively 3 call rates which is a call rate for Monday & Tuesday, a call rate for Wednesday, Thursday & Friday and a call rate for Saturday, or it could be a call rate for Monday & Saturday, then one for Tuesday and another for the remaining days. The important thing is that it can be agreed locally. No plans to update.
Indoor Workload Tool
From April 2014 the intention is for the IWT data sent to the centre for weekly performance reporting to be automated, although due to some technical problems this could run into May. This means that the DOM will not undertake any manual inputs except changes to any local details i.e. distances within offices etc. This will be done via a web browser which will log the date and input of any changes to local details. Any local input changes to local details should be agreed at the weekly resourcing meeting. Both the manual and automated IWT will run concurrently for a period of 4 weeks where comparisons can be made against the reported outputs of both systems. This should enable more accurate reporting and actual performance levels. The Planning/Forecasting IWT will still remain in its current format.
General Related Issues
Traffic Recording
We are currently waiting for a draft Delivery Office Traffic Audit Process that is to be included in the national traffic Guidelines. This does not stop Delivery units undertaking their own traffic audits.
Traffic Reporting/Information
This information is provided to give you a guide as to when traffic is being reported to and from Delivery Offices on a daily basis.
Manual figures reported to Delivery Office from Mail Centre 07:30 – 08:00
Automis concludes sequenced traffic figures from 09:00 sends into traffic report.
Delivery Office sends Mail Centre the Special Delivery, Tracked, and Missort figures by 08:30.
Final DIRT report is sent to Business Warehouse from Mail Centre sometime between 11:00 – 12:00
The DOM’s daily traffic report is updated the next day. This means that 2 traffic reports are sent to Business Warehouse each day – the “on the day” report and the “previous days” corrected report. (The traffic report the DOM received the day before)
