There are around 5 PT staff who are willing to do some afternoon overtime but 3 don't seem to get a look in most days as its the same 2 people grabbing everything. Because our start times are 8.45 then whatever OT there is has already been dished out for the day to the same 2. My area union rep suggested I make a rota and present it to the manager so if one person gets asked to do OT one day then that person will then go to the bottom of the list until their turn comes around again. The problem is there is only a pool of 5 people who do any OT after hours, the rest of the office just want to finish their duty and go home, however I have to still figure a way to include everyone and making a fair rota.
My idea would be to maybe ask the manager to make notice on the board for people to put their names on if they want to be included in OT rota or make a rota with just the pool of 5 people for the manager to keep and if anyone else fancies an overtime day they could be included into the rotation list.
We have to think of something, otherwise we will carry on losing out and if we had something in place then we could challenge the manager if the same 2 still get everything when he has this rota in black and white. I'd give a copy to my rep too.

Ask your Manager to put a system on the notice board for availabilty overtime Mon to Sat list. Staff to tick days there days they are available for overtime on a weekly basis . Everyone can see for themselves on the notice board how the overtime allocated and if its not done fairly can raise a grievance against the Manager.

Its down to the Manager to ensure all overtime allocated fairly to each member of staff who are available if they refuse to do this raise a disagreement and this will go to our area rep.

Its not for Reps or postpersons to allocate overtime we have Managers and staffing officers who are paid to do that role .

We used to have an O/T hours league table, with the most hours worked at the top, and the least at the bottom. The person at the bottom was always asked first when was O/T available and if they declined then the second form bottom was asked, etc.

It's a fairer system as if someone is asked but can't do it for whatever reason they don't lose their "go", plus it also shows who the grabbers are..

I doubt your DOM is being malicious in the way they delegate overtime - they just want to get the office clear of mail so whoever accepts first gets the job. In our DO we are sort of all full time, or are contracted to do as much as we want/need, so most of us just want to get the work done and go home. Some of us will work our days off, on our own walks, if the office is short staffed but that is more about loyalty to our customers and workmates rather than the money.
It should be easy for those in your office to decide on a weekly basis who wants to do overtime on which days and divide the work up based on availability. It is done that way in our office with the collection SAs and works much better than the standard method of setting same days each week which then collides with set days off etc and causes aggro.
