Is there any formal policy about what to do with businesses that have relocated and their mail? Businesses in a particular area have upsized/downsized to offices in the same area over the last few years, but still get lots of mail for their old address. No redirection in the folder(long expired, IF there ever was one to start with). I'm talking about everything from big law firms to offices with "rent a desk" type companies. The bigger ones are easily identified as "gone away" but the smaller ones have been complaining about excess post for former tenants. Should I be doing free redirections or just endorse everything and await the complaints regarding missing post? :whistle

You should not be doing free redirections. Inform manager and if he or she wishes then they can contact businesses at new address informing them that they are still getting a large volume of mail to their old address and give them the information regarding redirections.

On the other hand, they might just tell you to kill them off.

Bottom line is, they should not be receiving the redirection service free of charge!

you can kill off mail for businesses that have left which the current business has told you they dont wish to recieve. As for redirecting it for free - dont do it.

We write " redirection fee required " on the items & then place them in a redirection bag & send it back to the cheeky bugger who's trying to get a freebie

Unless there is a redirection in place all mail should be delivered as addressed.
It is then down to the occupiers to send back any mail not for them as not known at this address or gone away.

Great answer but we all know the reality is that people forward mail for free , Ie Care homes , hospitals , prisons & universities

Businesses - shouldn't be forwarded on they should be "killed off". (1.2)

Any that have been opened should be passed to Revenue Protection (also 1.2)

Forwarding a letter

1. If a recipient of an item (except a Business Reply, Freepost, Special Delivery or Recorded letter) attempts to forward it from its original address to another address in the United Kingdom, the Channel Islands or the Isle of Man by writing or printing the new address on the cover or envelope of the item and re-posting that item the following will apply provided that the item is being forwarded to the original addressee:

1.1 Except in the circumstances set out in 1.2 below, we will not charge extra postage or fees for forwarding an item that has been re-posted in accordance with 1 above.

1.2 We will charge extra postage and a may charge a handling fee for forwarding an item if it has been opened before being re-posted, or the name of the original addressee is covered or obscured, or it is forwarded by a business or a person acting on behalf of a business.

1.3 We may at our discretion deliver to the addressee or return to the sender a letter which has been forwarded and which was originally sent using our Special Delivery or Recorded Signed For services. In either case we will charge the addressee or sender extra postage and/or a handling fee.

1.4 In any case where we consider that an item has been forwarded to evade payment of postage we may treat it as an unpaid letter in accordance with the requirements of the Scheme or contract under which is was sent.

1.5 We can be required under the Social Security Administration Act 1992 and the Social Security Administration (Northern Ireland) Act 1992 (‘the Acts’) not to deliver items of Social Security Post which have been forwarded or redirected to a new address, but to return them to the Sender. We are required under those Acts to provide information about the redirection of Social Security Post to persons
specified in the Acts.

1.6 The charges and fees for forwarding a letter will be at our standard rates at the time.

Deliver as addressed until informed otherwise by the tenant, then dump them. After a week or so you'll find the mail dries up.

RM does have stickers that can be put on mail that the redirection has run out on. They mention that the Home Office recommends customers should take out a redirection to stop their mail getting into the wrong hands. There is probably a RM number for this sticker but I couldn't tell you it. Just throw that info out there.
