Booking in packets returned to DO

Post by Jack Rouse »

How many of you have this system installed ?

At first it may sound like a good idea, but after using it for a few days the flaws become obvious.

You can no longer keep a track of specials, and they get mixed in with all the other packets.

The packets are given a unique number, which makes them easier to find, but, you soon get gaps appear, and the only way to add more packets onto the end is to fill the gaps on the shelves, while keeping everything in order !

The actual system being used is poor, it logs you out half way through entering something, everything has to be entered correctly, or the callers office could spend ages looking in the wrong place.

Surcharges get mixed in with it as well.

Each packet has to be listed according to a wealth of parameters

Standard
Tracked
Recorded
Special pre 0900
special pre 1300
International signed for
international pkt

If it has a barcode you have to scan it, then decide

letter
jiffy
parcel
oversize ( wont fit on shelf)
tube

You also have to enter the customers surname, post code, and address, we find our system knows some post codes, but not all in the area.

Starting at 1pm when some are starting to arrive back, it can take until 7pm to get all the packets entered, and despite the note on the 739, people still come in the same day to see if their packet is in the office. :arrrghhh

We have had it running it our office for quite a while and it seems to run quite well to be honest.

Specials, tracked and internationals are kept seperate and they are placed in certain areas when the posties come back to the office.

Then they are all scanned seperately. So all the specials will be done at once and placed in their own area so callers know exactly where those specials are.
everything else pretty much just gets popped up on the shelves. Only pain is that you have to move all the packets up to make room for all the new packets. Takes time, but to be honest its much quicker and less messing around than the old system of... 'god i just cant find the bloody thing'.

I'm a postie and don't work in the callers office but I spent about a month in there over xmas with the new system and it worked really well.

Also with regards to the scanning and inputting of packets... when I was booking them In I would start by scanning for example all of the 'recorded' ' parcels'. You can set the system to keep those same settings rather than having to click each parameter again and again. It was a while ago but I think you just click next to where you type in the box. ie on the title name of the parameter.

That way its boom boom boom. then I would do tubes/oversizes n so on. saves messing around too much

We don't do that, they get shoved on the shelves with all the other packets. Not found that button yet ! I know how to save the details if oyu have two packets for the same person.

I agree it makes it a lot easier to find the packets, but the inputting of all the details takes time, and people still ignore the "next day" info on the 739.

I'm just wondering how you managed over xmas, did they have a postie on it full time, at the moment I'm working 11 - 7, and I just about manage to get them all loaded.
