Accurate measurement of letter and parcel volumes is vital to our business. If volumes are inaccurate, it’s impossible to plan effectively.

Accurately measuring our traffic every day means we can:

• Understand the cost to our business of each of our products
• Help establish the cost and efficiency of each mail centre and delivery unit
• Plan for Christmas and other special events
• Make decisions on revisions and transformation activity
• Understand when new equipment is needed
• Help with resourcing to workload.

We all play a part in accurately recording traffic. Colleagues in mail centres play a major role in measuring our traffic, but colleagues in delivery also need to keep an eye on items to ensure nothing is missed.

It’s very important that each delivery unit captures the premium products (Special Delivery and Tracked) and Business Reply mail via their Delivery Daily Record (DDR) process.

But in addition to this, all postmen and women play a role in making sure that containers do not bypass the traffic recording process in their office. This could be whether items are arriving into the office or being despatched to delivery. It’s our responsibility to ensure traffic is recorded accurately every day.

Nothing can count every single letter, postcard, brochure, magazine, parcels and make it accurate and it won't be able to count on individual walk. It is all guesstimate.

That's probably part of the reason for the trial for every single last parcel to be scanned. If it reads the address and they system gets extended then each office in the pipeline would get (in theory) the exact number of items that they're due to get

No-one is asking OPGs to forecast mail in mail centres. Any traffic streams that are machine recorded should already be accurate it is the volumes that rely upon ACFs and scanning of containers (and part containers) where potential problems can occur. As more work has been put on TMMs (Traffic Measurement Managers) and less PHGs are scheduled to monitor and sample it should come as no surprise to anyone that the figures are not as accurate as they could be. Until everything passing through some form of Mech volumes will never be 100% accurate but by focusing on traffic streams with regional variances, scheduling sampling exercises correctly and providing some resource it can be improved.

Why for years they have told us all mail volumes are falling yet the only thing I see is postmen/postwomen sickness going through the roof and they now say they don't even know the volumes of mail accurately themselves. It beggars belief so have all the top bods in HQ had their heads up their arse for so long some should try doing a walk and I don't mean to the coffee machine!
