Dear Sir/Madam.

Over the last couple of years I’ve noticed a sharp increase in customers approaching me, they are unhappy with how I carry out my work and this has increased my stress levels to a stage where it’s becoming hard not to react unprofessionally. I’m just following Royal Mail’s delivery procedure. If I don’t follow these rules and something goes wrong, questions will be asked, if I’m found to be at fault I will more than likely be conduct coded. I’m afraid It isn’t up to the customer receiving mail to decide how mail is delivered and what can seem common sense isn’t always the case. Some of the things that annoy customers and are beyond my control and are listed below. I will highlight the problem you have encountered and let you deal with it via Royal Mail management.

I can’t control when or if you receive your daily delivery of mail.
I can’t sign for items that need a confirmation of delivery signature.
I can’t leave packets/parcels unsecured.
I can’t put my health at risk to make a delivery ( Dogs and dangerous paths etc).
I can’t help it, if something on your property breaks through wear and tear (gates and letterboxes etc).
I can’t control if someone sends you wrongly addressed mail.
In the large majority of cases I can’t be blamed for the bad condition of mail.
I can’t hand mail out in the street.
I can’t help it, if you never heard me knock or rang the doorbell.
I can’t help it, if I woke you up.
I can't help it, if I have no time to deliver your item to a neighbour.

If you haven’t had a satisfactory explanation from this letter please contact management using the contact details below.

IMO Don't do it. Just refer them to your DOM. Avoid getting personal.

No skull, it wouldn't be right to hand this out to your customers.
How about seeing if your local newspaper would be willing to print it ?

just ignore them and do the job properly dont raise your stress issues and dont take thing personally!!

If your stress is becoming a problem maybe you should consider counselling? Passing a negative and unprofessional letter to customers is only going to add to your stress when said letter fails to satisfy the customer's concerns and they contact customer services. Your employer has a duty to address your stress in the workplace, the union should be able to help you in this regard too. Speak to your line manager, pass on customer complaints to him/her to deal with and let them know if your are needing help to handle stress.

This is a funny olde job! It can be hard to get it right especially if you want to work by the book... And that is not helped by other postmen/postwomen that gives some customers the wrong expectations...

I have seen a few bad practices some working with some folks on the shared van/P&L delivery method.

The one about waking someone up vs 'you did not knock' is an annoying one.

I had one yesterday where I thought I rang the bell for a special and I saw a lady not responding, so I tapped on the window. She came out and told me off and said firmly that I should not tap on the window as the bell works. I actually got it wrong as she was in the next house in one of those very close terraces - my first time on the round.

The house owner came out and heard the telling off - he just smiled as I muttered something. The funny thing is that the lady actually had a packet and I went on the ring her bell - and she was then as good as gold in thanking me... :roll:
