Passport for work

For the last month or two certain members of our office have been asked to bring their passport to work !
The reason given for this is to prove they are entitled to work in the uk !
Having worked for royal mail for 14 years I find it strange that I'm being asked to do this , having informed my manager I do not own a passport his reply was that your birth certificate and something with your ni number on it will do !
Then he followed that up with non compliance will lead to dismissal !
Has anybody else heard of this happening ?

RE: Proof of right to work in the UK

We have received a number of enquiries at CWU HQ regarding Royal Mail asking individuals to complete a data gathering exercise which provides the necessary information for individual’s proof of right to work in the UK. A review of the existing files in the current system has identified some that do not contain a copy of a document providing the proof of right to work which Royal Mail Group (RMG) is legally required to hold. The files are incomplete because between 1997 and 2004 there was an ambiguity in the Home Office guidelines about performing and recording identity and proof of right to work checks. In 2004 the Home Office provided guidance which clarified what documents were acceptable to cover these requirements and how they should be recorded. RMG has a legal obligation to collect this information.


The only employees affected are some of those recruited during the 1997/2004 time period. Proof of right to work in the UK can be demonstrated by presentation of a passport or a full UK birth/adoption certificate that is accompanied by a proof of national insurance number. Although individual’s national insurance appear on their wage slip the Home Office requires that this be proved independently.


We can assure all branches that there is no suggestion that any of the staff members contacted have done or failed to do anything to cause this issue and all data provided will of course be handled confidentially and in accordance with the data protection requirements. Therefore branch representatives should inform members to comply with this request.

Which just goes to show how easily this can be circumvented
