What system does your office use to sign back packets, parcels and recorded items - is it numerical, alphabetical by name, alphabetical by address, not at all or another method.

When they get handed in as D/L we write them in the book and then file them by the road name alphabetically. The recordeds get filed by day and specials all go in the safe.

The ones we send to the POC get put into another book and sent off at least 2 times a day.

I've worked in other office's RLEs and one of them files them by whose round it's on and another designates them a number and then puts them in numerical order They also file the recordeds by the area!

That just seems like creating more work-designating a number, filing it by the number, then when a customer comes to collect it you have to look in the book first to find out where it is.... Filing it by the round is all well and good if you know whose round it belongs to.

At least if it's filed alphabetically all you have to know is the road name!

What gets me is that some people don't ask the caller for ID using the argument "well they've got the card". For all we know it could be a couple going thru an acrimonious divorce or a house of multiple occupancy. It asks for ID on the back of the card so why risk your job and not ask for them to provide it?! What if IB decided to do a spot test to see if you bothered asking...

sign back? you mean just the storage or actually signing them back in?
we dont sign anything back in,only the SD items are checked

packets/rd's/SD's are stored by surname
were just to big an office to have anything more complicated
we ID everyone now after a PO box holder who collected their items every week complained they never got ID'd
the fact we saw him at least once a week obviously meant nothing

The reason I ask is because we are looking to simplify the system - which is done by street alphabet. It would simplify matters if the 739s were completed correctly of course.

Ours is done by duty, each duty has a specific place to put things but it requires us putting the duty number on the P739s so that the manager who mostly serves the callers office can find them.

Our specials, recordeds, packets & parcels are left outside the callers office. The office is shut by the time we get back and so they all get placed there along with the PDA's and keys to pouch boxes and vans
Later on about 5.30 pm they get put inside the callers office in case someone comes in after 5.30 and nicks them
Good job our thieving scum play by the rules and dont come into our DO before then otherwise they wouldn't have enough pockets to store the stuff in.

The next day all p739's are stored according to date. Specials are stored together, recordeds are stored together and packets and parcels stored together.
When someone comes in with the card we just need the date and whether the item is a special, recorded or packet/parcel and we can go look for it.

In our Room of Doom:

Recordeds by name (Kept apart from all else)
Specials - Alphabetical by name for letter size ones and by House number order for packet size ones.

Normal Packets - Alphabetical by Name and then by House Number

Average time to locate items even if not on computer - 10 - 15 seconds maximum - only if form left is written out correctly.

Not being funny but I have little enough time out on delivery with a walk that my DOM won't recognize as being over 3.30 it actually takes over 4 hrs on a quiet day, without the extra 10 secs time taken on the 30/40 cards I fill out daily. I know its only a few minutes but every sec counts when i'm trying to get back to pick kids up from school (thats when I don't cut off).


As far asthe organisation in our locker its specials in the safe in order they come in, recorded's in a drawer or on side in order they come in and everything else sorted per 1st letter of address.

Nothing is recorded in a book at my DO, we used to have a computer system so we knew what came in and what went out but that went a few years ago, since then everything is put on the shelves/in trays by the road name or if its a named house under the house name, door numbers are written on the sides of packets as its quicker to locate them. I'm glad to be out of the Room of Doom, its a thankless task and you're open to constant abuse from the public, which managers don't seem to realise or ignore.

We simply do surnames for everything though have different shelves for specials. Because the actual size of our Callers office is too small, normal packets A-P is inside , Q-Z is ouside...as are the recordeds, which are placed in 4 coffins, A-E / F-L / M-R / S-Z. We've actually been keeping track of visitors to the Callers by collecting all 739 cards and counting them each day. Since May 19 last year, we've had over 34,000 people in. We deliver to 25,000 dp's. On average it works out one visitor every 3 mins.

Room of Doom is a very good description after the past few days I've had in there!!

It's amazing the lack of information on the cards sometimes. I couldn't believe that letter in the courier asking for them to make them easier to fill in
