Dear Simon

Following your feedback, from Monday morning at 8am we will be introducing a new process for
delivery managers to source hire vans locally.

For delivery office managers, these are the actions you need to take if you need additional vans
and your van requirements cannot be met in any other way, e.g. by using existing vans on
afternoon routes.

1. Find the vans - contact a local hire company by phone, online or in person and identify the
vehicle type, quantity and duration required. You should not sign documentation or enter into
a deal in your own name. This must be a Royal Mail purchase.

2. Make an agreement in principle - inform the vehicle hire company that Royal Mail will
make the purchase through corporate arrangements and they will be contacted directly by
our vehicle broker or our central purchasing team to agree the documentation and make the
payment.

3. Tell Leeds Call Centre - collect all the basic information as set out on in this Information sheet and either ring or email Leeds Call Centre 0333 005 0312 or monitor@royalmailpfs.com

4. Collect vehicle - wait for confirmation from Leeds Call Centre then arrange collection/delivery direct with the hire company
Please ensure the vehicle hire guidelines are followed as per vehicle hires already issued by the
Fleet team. In terms of fuel, please initially use your own credit or debit cards and claim through
expenses. We will arrange fuel cards for the vehicles as soon as possible.

This process has been set up very quickly to assist you. There may be some challenges we
have to work through initially. Bear with us — we will get things right as we go through the week.

Please follow the above process [ flow chart below ] to supplement your fleet needs
quickly.

Look at the f**king state of that flowchart! 1:find vans 2:agree price and pay for vans 3: pick vans up.

They need a f**king flowchart! For that! :arrrghhh

So at 8am there will potentially be 1200 offices trying to get vans, then they follow all of the procedures. Then they still need authority (assuming the DOMs haven't done it in their own names FFS) from an office at RM. But as far as the clowns at the top are concerned, we have vans from 8am.

Don't forget to get them back by/on Christmas Eve for insurance purposes - so you probably can't use them that day either.

With other companies (not just couriers), wanting vans this time of year, what are the chances in city locations, the hirer will hire a van to the one turning up with the means to pay immediately, while waiting for confirmation of hire from RM, who may consider the price to high and want a deal
Everything will be OK in the end, If it's not OK, then its not the end.

Can't see RM managing to get any extra as probably every rival courier will have hired all of them already

On a miserable, cold, damp, dark evening, it's brilliant to come on here and be guaranteed a laugh. 1. Ring hire company, verbally agree van/s. 2. Ring Leeds to pass information on. 3.Collect van. A 5 year old could have done this WITHOUT a flow chart. :left: :left:

Fast forward to Tuesday:

Simon Thompson: "Phew, we now have all these extra hire vans to deliver Christmas. But wait... we haven't got enough people to drive them. Damn, I knew there was something else, I forgot what I was hearing months ago, that Royal Mail needs to employ more staff to deliver the 33% increase in the amount of parcels we now handle from pre-pandemic levels.

"OK team, it's time to act: from 8am tomorrow morning, DOMs can drag in anyone off the street, check they have a driving licence (even one from Legoland will do), check they can spell the word "parcel", wheel out a dozen Yorks of parcels, hand them the keys to the van, and tell them, 'off you go, you've have 6 hours to deliver this lot'...

"Ah, just bear with me for a moment - I've just had a message on Workplace from the Head of IT, that we haven't got enough PDAs to give the new drivers to scan the parcels on delivery. He doesn't seem very happy, he said this is the seventh message he's sent about this..."

Remember that all this is deliberate, they are breaking the USO in order to have changes made to boost profit for shareholders.

It's nothing more than corporate murder.

The CWU needs to be all over this.

This is brilliant, can just imagine our dom looking at those instructions and flowchart, his face slowly glazing over, coffee mug frozen in mid air between desk and mouth.

Then saying to the Phg "any van hire firms round here mate ? Do us a favour give em a ring and see if they've got any spare motors"

And I bet the FCD (Flow Chart Designer) is getting paid £50k+ to achieve this 'revolutionary' idea.

Now the lease companies are pulling all their scrappers out the back of the shed and adding a zero to the end of the lease price.
