At the moment we seem to be getting flak for failures on receiving tracked items in the DO. This has been an ongoing problem for some time and we have put in place what we think is a failsafe system of receiving them in the DO including have a manager scan them in on receipt - however it seems that even having a careful scrutiny of the receiving system we are still showing failures - and I am talking a considerable number - like 104 on a single day. Has anyone else had a problem and has anyone got a system with no failures?

We've had no failures on Tracked items in our office for months.
We only get around 200 - 300 Tracked items a day, but here's how we handle them.
All tracked items go to the RLE cage and are handled like Special delivery items.
They are all scanned into the DO and a figure for the total number recieved is recorded on a sheet for reference, then they are sorted to the relevent driving duties.
The drivers count the number of tracked items they have for delivery and the figure is entered on the delivery sheet along with a seperate figure for the total number of special delivery items.
The figures the drivers enter can then be totalled and checked against the figure for the total number recieved if need be.
It's the responsibility of a manager in our office to check the figures that we have recieved against the figure they can see on the daily CLEO report. Quite what they the do with that information i have no idea, but a manager comes into me a couple of times a week for the figures that we record for the total number of tracked ad special delivery items we get each day - so there must be a procedure in place for this at your office i would think.

Thanks for your response. Well our systems are identical. The items are wheeled up to the RLE and scanned in on the PDA, a blue line is crossed through the address and a Royal Mail Tracked sticker is applied, the figures are recorded at the various times they are received on a daily basis. At this point our systems deviate slightly - there is no check by a manager that the numbers received and those supposedly received, tally until it is highlighted as a failure. I am pretty certain that it is either a software problem or a deviation on the part of the mail centre on the days they receive them and the time they are sent to the DO. I am 100% certain it is not human error at our DO and I wondered if there has been any glitches highlighted anywhere.

Un-successfull items,(Callers). How is this handled/process? We had a similar problem.

It's not on the delivery side we have a problem it's on the receipt. We have had problems with people keeping hold of the item for the following day, so it's shown as ready for delivery and if the place is shut instead of showing no access and handing it to the callers for the following day they didn't do anything except keep hold of it. Having said that it's what they were told to do. We have the odd glitch on delivery but that's acceptable, when the the PDA goes tits up for example. Each returned tracked item is recorded in a book and the disposal details shown - eg, redelivered, collected, returned etc.

Some also put the P739 Left sticker over the barcode just to help. :crazy:

my office fails everyday registered,tracked. since our revision no items get scanned on time we fail but its all
forgotten about. the tracked are checked the next day by our guvnors but its all a farce.
would like to know dvbuk55 how do you finish your duty in time if your like our drivers we do firms and part of
a walk + registered letters,packets,parcels and tracked items,recordeds and parcels yet you say you deliver 104
tracked on one day at 3 minutes an item you would take 5 hours 12 minutes or do you only do tracked?.

? You need to read the post again NLD, you've got the wrong end of the stick. I don't deliver, it's the receipt of the tracked items we are having problems with not the delivery side. We average about 220 tracked items a day, walkers don't deliver tracked items only bulk and P&L who both have PDAs. We rarely fail anything on delivery but we have had 3 revisions now and despite the fact that people still don't use the requisite equipment the system works to a point.

AFAIK the server at the other ends treats 24hrs as being from 00:00 to 00:00 (well 23:59:59), so if they are scanned before 00:00 then as far as the system is concerned them items have been in the system for a day, so then they are in effect a day late for both the inward MC and the DO.

Locally in the MC the tracked are done on the main floor (not a hope in hell of doing them in the RLE as there is not enough room, the RLE could not accept RSCs and the RLE guns a a completely different system). Given how crap and old the RLE guns are now (most locally date back to the late 90s) it's about time RM (though I've probably got more chance of winning a huge jackpot on the euromillions) replaced the guns in the RLE lockers with guns that can handle both tracked and specials (inc foreign specials). Then if they got rid of RSCs (or at least stopped sending any Tracked in RSCs) then RLEs could process Tracked and specials. Do all DO lockers scan specials in and out with pdas or the LDTs (the guns currently used in MC RLEs)?

its been a long day, see what you mean now.as for the tracked it seems that the same old people are getting
the olympic tickets, does make me wonder how much royal mail paid out in getting this contract

get your phg to check on your delivery office dashboard what the failures actually look like, ie are they missing the recieved at do scan but still recieving the delivered scan the same day, they will see an empty box in between the dispatched from mail centre and delivered boxes, if thats the case then they are getting missed in the office, if they are shown as dispatched from mc and no scan for recieved at do and no scan for delivery then more than likely you never got them, also do you have any spdo attached to your office which dont use pda's, if so they could be going straight there and as they are tagged to your office will be showing up as failures, again on the do dashboard you will be able to see the post codes of the failed tracked items so should be able to tell if its that

check the delivered times, they are not the time it was recieved in the office by chance? bet you who ever is scanning them in has it on outdoor delivered or something like that rather than indoor ready for delivery and thats why its showing as being delivered, what is your returned to callers office scans like because if they are 100% all the time then that will tell you the scanner being used indoors is working
