Royal Mail want to make copies of my passport

Been told to hand over my passport, birth certificate and p60 to prove i am legally allowed to work in the UK.

Been with RM for over 9 years so this seems a bit odd.

Very uncomfortable with this.

Do i have to do this and what if i dont have a passport or birth certificate or P60?

My memory is a bit hazy.

Someone at work mentioned RM data may have been compromised or lost.

Loads of people got the same letter in my office. Looks like staff who started under 10 years ago.

RE: Proof of right to work in the UK

We have received a number of enquiries at CWU HQ regarding Royal Mail asking individuals to complete a data gathering exercise which provides the necessary information for individual’s proof of right to work in the UK. A review of the existing files in the current system has identified some that do not contain a copy of a document providing the proof of right to work which Royal Mail Group (RMG) is legally required to hold. The files are incomplete because between 1997 and 2004 there was an ambiguity in the Home Office guidelines about performing and recording identity and proof of right to work checks. In 2004 the Home Office provided guidance which clarified what documents were acceptable to cover these requirements and how they should be recorded. RMG has a legal obligation to collect this information.


The only employees affected are some of those recruited during the 1997/2004 time period. Proof of right to work in the UK can be demonstrated by presentation of a passport or a full UK birth/adoption certificate that is accompanied by a proof of national insurance number. Although individual’s national insurance appear on their wage slip the Home Office requires that this be proved independently.


We can assure all branches that there is no suggestion that any of the staff members contacted have done or failed to do anything to cause this issue and all data provided will of course be handled confidentially and in accordance with the data protection requirements. Therefore branch representatives should inform members to comply with this request.

Renew your passport or get a new birth certificate.
Anything from HMRC will have your NI number on it.

Well you can comply with two of the three - the OOD passport and you can get a copy of your birth certificate easily enough - so what's the problem?

I ditched the passport as it had expired (not paying £110 to renew) and you have to pay a fee to get a copy of a full birth certificate. Something i cant afford.

Then Royal Mail can dismiss you. Sounds harsh, but they're only being fair - everyone has to comply.
